Get your house in order before the robot infusion

The path to value, when it comes to people finding and using current, relevant information, is all about getting your house in order. And yes, this benefits future AI output. Dear Agents, we see you in the wings waiting to co-work with us. But first, before seeing any sane, measurable benefits: know who has access to what, organize your content, and making sure your sites and portals reflect how your business works today. Here in lies the cleansing.

Governance, permissions, and information architecture aren't just IT housekeeping — they're the MUST foundation that MUST come first. Whether you're looking to get more out of Teams, SharePoint, or OneDrive, or you're eyeing Copilot on the horizon, the best results come to the ones who take time to clean up first. Clean up the crud. Clean up site permissions and corresponding groups. And clean up and clean out old habits.

Most likely you don't need to start over. Rather, adopt a structured way to assess where you are and take good next steps.

This summer, consider these mantras:

Audit who has access to what | Review SharePoint site permissions and sharing settings. Remember: Copilot inherits permissions; does not change them.
Clear the clutter | Find and remove stale, duplicate, and low-value content. Archive or delete unused / inactive sites. Junk content = junk answers.
Look at your information architecture | Are your sites, hubs, and document libraries organized around how people work, or how someone thought they'd work five years ago?
Benchmark your progress | Microsoft 365 has a well-established maturity framework that helps organizations identify where they are and what "better" looks like. You don't have to tackle it all at once; knowing your starting point changes the conversation.
