Unlicensed OneDrives 😮

Recently, I’ve focused a decent chunk of my time on understanding the implications of the changes Microsoft is making for unlicensed OneDrives. You can read about the changes in this Microsoft Learn article: Manage unlicensed OneDrive user accounts. I won’t go into all the nitty gritty details here, but at a high level, the free ride we have had with unlicensed OneDrives is ending. If you want to preserve OneDrives after their owners have left your organization, you’ll need to start paying for that privilege.

If you have questions about this change, feel free to get in touch. But even more important than these changes is how it made me realize that OneDrives don’t usually get the governance love that our SharePoint content may be getting. You govern your SharePoint content, right? Let this change be an impetus for you to rethink your OneDrive governance.

You may find your users are storing content in OneDrive which really belongs in Team Sites or Microsoft Teams. Same storage mechanism – all files end up in SharePoint – but the idea that OneDrive is for “my content” and SharePoint is for “our content” may not be manifesting in your tenant in the ways you think. Of course, there can be variations around these practices in your organization but is everyone aware of the rules you’d like them to follow? With Microsoft starting to charge for retaining the content in unlicensed OneDrives, you may end up paying to preserve content which really belongs in your SharePoint pooled storage – or just deleted.
